Position Objectives:
- Responsible for the coordination of the Corporate Express ordering system involving internal transfers and external purchasers.
- Responsible for performing the debtors and purchasing functions and contributing to the development and operation of other financial systems.
- Contribute to the operation of Workplace Health & Safety Issues

Duties and Responsibilities:
Finance - Accounts Receivable:
- Undertake the debtors function
- Carry out end of month procedures associated with debtors
- Contribute to the development and operation of all financial systems
Finance - Purchasing:
- Carry out purchasing function for FPQ including pharmaceuticals and consumables
- Source goods and services and provide the most cost-effective outcome for FPQ
- Liaise with company representatives
regarding availability and purchase of
supplies.
Maintain order number register - Receive and check deliveries. (except clinic and education orders)
- Monitor back orders and follow up with suppliers
- Monitor usage and order stationery items for Alfred Street
- Carry out end-of-month procedures associated with products and purchasing
- Process clinic cash receipts including checking and balancing daily summaries, data entry into the general ledger and printing journal entries
- Prepare clinic stock summaries from daily receipt sheets and input data
- Input data for demonstration stock and stock returns
- Review and notify price changes occur of consumable or clinic items
- Maintain forms and documents relevant to purchasing and stores functions
Resources & Publications:
- Lodge internal and external orders via Corporate Express Web site
- Maintain file of transmitted orders and order confirmation
- Booking out of Internal equipment (e.g. laptops)
- Maintain order levels for FPQ printed stationery
- Run monthly reports for FPQ printed stationery
Bulk Store :
- Maintain stock levels to ensure operational units are supplied with adequate levels of trading stock while minimizing losses due to expired or slow moving stock
- Maintain store area in a safe working environment
- Pick & pack clinic stock orders and dispatch via appropriate transport arrangements
- Maintain register of freight usage for prepaid coupons
- Undertake quarterly Bulk Store stocktake (orals, other and consumables)
- Undertake monthly Bulk Store stocktake (orals and others)
- Provide stocktake sheets to regions for monthly and quarterly stocktake
- Process stocktake and collate information for Finance manager
- Arrange weekly couriers to FPQ regions and/or external companies

Selection Criteria
To be successful, the applicant will need to demonstrate the following skills, abilities and attributes:

Demonstrated experience with computerised ordering systems and accounting systems preferably Attache.

Demonstrated knowledge in accounting processes.

Ability to organise, maintain and monitor ordering systems.

High level of interpersonal and communication skills

Exceptional ability to organise a range of tasks and meet deadlines
